Curriculum Management System (CMS)
The Programs and Courses website is the official public catalogue of all curriculum offerings (programs, majors, minors and specialisations, courses and classes). Any updates to these objects must go through a formal approval process, which is managed and documented through the Curriculum Management System (CMS). The CMS contains a workflow that supports the approval delegation authorities as relevant to each curriculum object. This is to ensure the appropriate checks and reviews have been undertaken at each level (school, college, central).
Who needs to use the CMS?
- Course conveners will need to use the CMS to generate class summaries (at least once a year) and update course overview pages (as required) in P&C.
- School administrations will need to use the CMS on a regular basis review and publish class summaries, as well as undertake general curriculum maintenance for courses and programs (as required).
- Associate Directors (Science) Education will need to use the CMS on a regular basis to review and approve class summaries, as well as endorse and progress all other proposals to "CEC Endorse Pending". An ADSE is the school level delegate authority curriculum objects.
How often does curriculum need to be updated in the CMS?
Class summaries must be updated and published to the Programs and Courses Website no later than two weeks prior to the next delivery of each course.
Information on other curriculum objects (programs and courses) in P&C rolls over from year to year but it is expected that all curriculum objects will require review and maintenance at least every few years. Amendments may also be necessary to comply with the introduction of new requirements that support central strategies or government reporting.
We are required by our central and external regulators, including the Tertiary Education Quality and Standards Agency (TEQSA), to undertake a formal review of every curriculum object every five years.
How quickly are changes actioned?
Timelines for amendment depend on the curriculum object type. All timelines are mapped from the centrally approved deadlines and tabled in the last College Education Committee of each year. Associate Directors (Science) Education in each Schools, Centre or Institute are responsible for establishing their own internal processes for review and progression of curriculum proposals to the Education Governance Office for registration, review and College endorsement in alignment with the deadlines.

There are two main critical deadlines:
- Mid year (approx June) for program and subplan amendments.
- Early September for updating course information for the following year.
All approved and published amendments are effective from 1 January the following academic year.

Access profiles
There are three primary types of access profile:
- Designer: staff members with this profile can create amendments and progress proposals through the workflow as far as "submitted for review". Once the state of the proposal has been changed to submitted for review, Designers lose edit privileges and will need to contact the school administrator if additional edits are required. Course conveners are typically allocated this profile.
- School admin: Staff members with this profile can create amendments and progress proposals through the workflow as far as "CEC Endorse Pending" Once the state of the proposal has been changed to CEC Endorse Pending, School admins lose edit privileges and will need to contact science.curriculum@anu.edu.au if additional edits are required. School administrators and Associate Directors (Science) Education are typically allocated this profile. The Education Governance Office will only accept proposals that have been progressed to the CEC Endorse Pending by the Associate Director Education of the school.
- College admin: Staff members with this profile will be able to create amendments and progress proposals through the workflow as determined by the specific curriculum object and Central Approval process. This profile is reserved for College Education Governance Officers and the Associate Dean Education.
Other profiles include:
- Class approver: Staff members with this profile can approve class summaries. Associate Directors (Science) Education and Associate Deans Education are typically allocated this profile.
- Class publisher: Staff members with this profile will be able to publish class summaries. School Administrators and College Education Governance Officers are typically allocated this profile.
State changes and workflows in the CMS
The Curriculum Management System has an embedded workflow. All curriculum objects follow a predetermined path from creation through to approval and publication. This workflow can be viewed through the "state" icon in the top, right hand side of each individual form in CMS. Depending on your access profile, you will lose edit privileges once a proposal has changed state (see access profiles above). The workflows vary depending on the specific curriculum object but all amendments typically follow the same path from School to College:
- Draft: This is where a proposal in initiated by someone with at minimum a "Designer" profile. This is usually the school administrator or the course convener. When all edits have been made, the initiator must change state to "Submitted for review".
- Submitted for review: This indicates the proposal has been progressed to the school administrator for the first "review". It is the responsibility of the School Administrator to check the edits and progress the proposal to "School/Centre Endorse Pending".
- School/Centre Endorse Pending: This indicates the proposal has been progressed to the relevant Delegate Authority (the Associate Director (Science) Education) in the school for review. Some schools may prefer to table proposals in a school education committee prior to progressing the proposal to "CEC Endorse Pending". Only the ADSE, or school administrator if the consultation record documents ADSE or School Ed Comm endorsement, may change state to "CEC Endorse pending".
- CEC Endorse Pending: This indicates the proposal has been progressed to the College for consideration and review by the College Education Sub Committee prior to formal endorsement by the College Education Committee. The College Education Sub Committee may recommend adjustments, in which case the proposal will be returned to pending feedback resolution. Sub Committee feedback will be recorded in the consultation record for the school to address and resolve. The proposal will need to be resubmitted through steps 2-4. Once returned to CEC Endorse Pending, the College Education Governance Officer will verify all issues hae been addressed and prepare the proposal for endorsement in the next College Education Committee.
Once endorsed by the College Education Committee, the Education Governance Officer will progress the proposal through to the next step in the workflow. This varies depending on the type of curriculum object. For specific details, please refer to the roles and responsibilities table in the workflow pdf linked at the bottom of this page.
The school administrator and ADSE will be emailed an update on the progress of proposals after each College Education Commmittee.
