General information
Class scheduling is undertaken through the Student Administration System (SAS).
Tasks that fall within in the remit of class scheduling include:
- Updating course convener details
- Cancelling existing scheduling
- Scheduling new classes
- Adjusting dates for non-standard session courses
- Class scheduling roll-over checks
- Late scheduling changes and impact on other activities and students
Class scheduling is checked and maintained on a rolling basis. Emails with instructions and deadlines are typically sent out from science.curriculum@anu.edu.au throughout the year. The Education Governance calendar for administrators contains indicative timelines and a basic summary of the relevant activity.
There are deadlines by which schools and colleges lose access to make changes in SAS and there are important considerations to keep in mind when making decisions to cancel courses, shift courses from one semester to another or impose enrolment restrictions on courses. In many cases a student impact analysis must be undertaken to ensure students are not disadvantaged.
How to get access to schedule in SAS
School Administrators are given a basic access profile in SAS when you complete an "LAN access to CASS" form in the first days of your role. This enables you to access the "course catalogue" and "schedule of classes" panels in SAS. This basic profile grants you access to run course catalogue reports, classes on offer reports and update convener details.
Instructions on how to undertake these activities are available from the Education Governance Office upon request.
In order to be able to undertake class scheduling, school administrators must attend a training session provided by the Academic Standards and Quality Office (ASQO). Training opportunities are run several times a year, usually before significant deadlines. The Education Governance Office will circulate an email with the training details to all school administrators. Upon completion of this training you will be provided with an instruction manual and your profile in SAS will be adjusted to enable you to schedule and cancel classes.
Useful SAS reports
Course catalogue report: School administrators can run this report to identify how many courses, including HDR, are on the books for the school and available for scheduling. It contains useful information about the course set up and will includes courses that are scheduled and not scheduled. It does not include specific scheduling and convener information. The report usually includes one data row per course. This report should be cross-checked against a classes on offer report to assist in identification of biennial or rested courses that might require scheduling.
Classes on offer report: School administrators can run this report to identify how many classes are scheduled in any given semester/ session or across multiple semesters/sessions and years. It contains information such mode of delivery, dates of delivery (start, end, census and last date to enrol), convener details (including co-conveners) and number of enrolments at the time of the report. This report may include multiple data rows per course if the course is scheduled in multiple sessions/semesters, has more than one convener or mode of delivery.
